Booking Terms & Conditions

Confirming your booking - Accommodation can be added to your conference profile during the registration process. Please note, your room is not confirmed until full pre-payment is received. Full pre-payment for accommodation is due by Friday 13 June 2025. Several payment options are available: online via credit card (credit card surcharge applies), over the phone by calling ASN Events on (03) 8658 9530 (credit card surcharge applies), or EFT by following the instructions on the invoice emailed to you. If you do not receive your invoice, please contact via email or phone +61 3 8658 9530.ASN Events .

Accommodation bookings not paid for by Friday 13 June 2025 will be cancelled.

Changes - If you require different nights or additional nights not available on the website, contact the conference secretariat for availability. Please note, you may be required to complete a credit card authority form upon enquiry. Room changes or reductions will not incur penalties prior to Friday 13 June 2025.
Changes to your booking should always be done through the conference secretariat, NOT the hotel itself.

Cancellations - Cancellation policies apply to each hotel and apply when cancellations are made within 30 days of arrival. Rooms cancelled within 30 days of the conference will be charged the either part or the full price of the total accommodation booked. Please contact the secretariat if you wish to cancel your stay and would like to know the cancellation policy.

Security deposit upon check in - A security deposit may be held to cover miscellaneous charges incurred during your stay.

Room availability - During the Registration process, an icon of an envelope indicates there is no availability for that night. Please email ASN Events if you have any queries regarding accommodation.
